Privacy Policy

Fieldworks Software LLC (hereinafter referred to as "we", "us", or "the Company") recognizes the importance of your personal information to you and is committed to protecting your privacy and data security. This Privacy Policy (hereinafter referred to as the "Policy") clearly informs you about how we collect, use, store, share, and protect your personal information when you use our software products, online services, and access our official website (collectively referred to as the "Services"), as well as the rights you are entitled to.

By registering an account, clicking the "Agree" button, or actually using the Services, you represent that you have fully read, understood, and accepted all provisions of this Policy. If you do not agree to this Policy, you must immediately cease using all Services. We may revise this Policy from time to time based on updates to laws and regulations or business adjustments. Revised versions will be published via official website announcements or in-platform notifications, and will take effect 7 days after the publication date. Your continued use of the Services after the publication of a revised Policy shall be deemed your acceptance of the revised Policy.

I. Scope of Application

This Policy applies to all users (including individuals, legal entities, and other organizations) who use our Services, covering all scenarios such as service registration, login, feature usage, technical support, and official website browsing. However, it does not apply to the following situations:

Products or services provided to you by third parties through our Services (e.g., third-party plug-ins); the privacy protection for such services shall be governed by the third party’s independent privacy policy;

Non-personalized information we publish in public contexts (e.g., industry reports, anonymized statistical data);

Special data processing scenarios specified otherwise by laws and regulations.

II. Information We Collect

(1) Information Voluntarily Provided by Users

In the process of using the Services, you may need to voluntarily provide the following information to us to enable specific features or complete business processes:

Account Registration Information: Including your name, email address, phone number, company name (for corporate Users), job title, etc., which is used for account creation, identity verification, and Service alignment;

Service Usage Information: Such as business data you submit when using customized software features (e.g., project parameters, customer information templates), problem descriptions and device models provided in technical support requests, and personal opinions or contact information included in feedback and suggestions;

Payment-Related Information: Such as bank card numbers you provide when subscribing to paid Services (used only for payment channel integration; we do not store full card numbers), and taxpayer identification numbers and addresses required for invoice issuance.

(2) Automatically Collected Information

To ensure the stable operation of the Services, optimize user experience, and safeguard security, we will automatically collect the following information through technical means:

Device and Access Information: Including device model, operating system version, browser type, unique device identifiers (e.g., IMEI, MAC address), IP address, network operator, access time, visited pages and duration of stay, click operation records, etc.;

Usage Behavior Information: Such as the feature modules of the Services you use, operation paths, frequency of data uploads/downloads, search keywords, Service error logs (including crash time and error codes), etc.;

Location Information: We only collect your approximate geographic location (e.g., city-level) when you enable device location permissions and use features that require location services (e.g., regionalized data processing tools). We do not collect precise latitude and longitude information. You may disable location permissions at any time through your device settings.

(3) Information Obtained from Third Parties

Subject to compliance with laws and regulations and authorization under third-party agreements, we may obtain relevant information about you from cooperating third parties, including:

Identity verification results obtained from identity verification service providers (e.g., business registration information for corporate Users);

Payment status and transaction records obtained from payment service providers;

Anonymized user behavior statistical data (with personally identifiable information removed) obtained from data analysis service providers.

III. Purposes of Information Use

We only use your personal information within the following legal and necessary scope. For use beyond the following scope, we will obtain your explicit consent separately:

Providing and Maintaining the Services: For example, creating an account based on your registration information, operating software features based on the business data you submit, and sending Service activation notifications and operation guidelines via your contact information;

Optimizing Service Experience: Analyzing your usage behavior data to identify issues in the Services (e.g., feature lag), optimizing interface design and operation processes, and recommending feature modules that better meet your needs (e.g., recommending project management-related plug-ins for corporate Users);

Safeguarding Service Security: Identifying abnormal access (e.g., cross-regional login, high-frequency requests) through device information, IP addresses, and behavior logs to prevent account theft, data leakage, and cyberattacks, and ensuring the compliant operation of the Services;

Providing Technical Support: Quickly identifying the cause of faults based on the problem descriptions and device information you submit, and providing solutions or feedback on handling progress;

Fulfilling Legal Obligations: Providing necessary personal information to cooperate with investigations when required by legal investigations, regulatory inspections, or judicial procedures, or storing and reporting relevant data in accordance with legal and regulatory requirements;

Conducting Business Communications: With your consent, sending you Service update notifications, industry information, and promotional activity information (you may opt out of such notifications via the "Unsubscribe" button at the bottom of emails or through account settings).

IV. Information Sharing and Disclosure

We strictly adhere to the "minimum necessity" principle and will not share your personal information with any third party except in the following circumstances:

With Your Explicit Consent: For example, when you authorize us to synchronize data to a third-party storage service you specify (e.g., cloud drives), or agree to us sharing information with partners to provide joint services (we will inform you of the scope and purpose of sharing in advance);

Sharing with Service Partners: To enable Service functions (e.g., payment processing, server hosting), we may share necessary information with cooperating third parties (e.g., payment institutions, cloud service providers). However, we will restrict such third parties to using the information only for the specified purposes through agreements, require them to adopt security protection measures equivalent to ours, and prohibit them from unauthorized disclosure or secondary use;

Business Transfer Scenarios: In the event of corporate merger, acquisition, asset transfer, or bankruptcy liquidation, your personal information may be transferred to the transferee as part of business assets. We will notify you in advance via official website announcements or emails, and the transferee will continue to fulfill the privacy protection obligations stipulated in this Policy;

Legal Mandates: When receiving court subpoenas, administrative orders, or requirements under laws and regulations, we will legally disclose necessary personal information to the competent authorities and verify the legality of the disclosure request;

Protecting Legitimate Rights and Interests: When we discover that you have violated laws, regulations, or this Policy, or to protect the personal or property safety of us and other Users from harm (e.g., preventing fraudulent activities), we may disclose relevant information within the necessary scope.

We will not sell your personal information to any third party, nor will we use your personal information for purposes not specified in this Policy.

V. Information Storage and Security

(1) Storage Period

We determine the information storage period based on the following principles:

The period necessary to achieve the Service purpose and not in violation of legal and regulatory requirements (e.g., account information will be retained for 1 year after you cancel your account to handle unresolved transactions or disputes);

The minimum storage period specified by laws and regulations (e.g., financial transaction records must be retained for 7 years to comply with tax regulatory requirements);

When you request deletion or the information is no longer necessary for use, we will promptly delete the information or anonymize it (removing content that can identify individuals). Anonymized data may be used for statistical analysis and will no longer be subject to this Policy.

(2) Storage Location and Cross-Border Data Transfer

Your personal information is primarily stored on servers located within the United States (in data centers in Delaware), in compliance with relevant U.S. data protection laws and regulations;

If information needs to be transferred overseas due to Service expansion (e.g., sharing data with European branch offices), we will ensure compliance with laws and regulations governing cross-border data transfer, including:

Obtaining your explicit consent;

Signing data protection agreements with overseas recipients to stipulate security protection obligations;

Adopting technical measures such as encrypted transmission and data desensitization to ensure data security during transmission.

(3) Security Protection Measures

We adopt multi-level technical and management measures to protect the security of your information:

Technical Security Measures: Using SSL/TLS encrypted transmission technology to protect data security during transmission; storing sensitive information (e.g., account passwords) using irreversible encryption; deploying firewalls and intrusion detection systems to prevent cyberattacks; regularly conducting security vulnerability scans and updates on servers;

Management Security Measures: Establishing information security management systems to clarify the authority and approval processes for employee access to information; providing regular privacy protection training and assessments for employees who have access to personal information; implementing data access log auditing to record information access, modification, and deletion operations;

Emergency Response Mechanism: Developing emergency response plans for data security incidents. In the event of information leakage, loss, or other security incidents, we will immediately initiate emergency handling, take remedial measures, and notify you and relevant regulatory authorities within the time limit specified by laws and regulations (if the leakage may cause serious consequences).

Despite the above measures, the internet environment is inherently uncertain, and we cannot guarantee absolute security of information. If you discover abnormal account activity or information leakage, please contact us immediately (see Section X for contact information), and we will assist you in taking remedial measures.

VI. User Rights

In accordance with applicable laws and regulations, you are entitled to the following rights regarding your personal information, and we provide convenient channels for you to exercise these rights:

Right of Access: You have the right to access your personal information (e.g., account registration information, usage records) at any time. You may request access by logging into the "Personal Center" of your account or contacting customer service. We will provide query results within 15 business days (for complex cases, the period may be extended to 30 business days, and we will inform you of the reason for the extension in advance);

Right of Correction: If you find errors in your personal information (e.g., misspelled name, changed contact information), you may correct it yourself through account settings or submit a correction request to customer service. We will review and process the request within 5 business days;

Right to Erasure: You have the right to request us to delete your personal information under the following circumstances:

The purpose for which we collected the information has been achieved, and there is no legal or regulatory requirement to retain it;

You withdraw your consent to the use of the information;

We use the information in violation of this Policy;

You may submit a deletion request via customer service. We will complete the deletion or provide reasons for not being able to delete (e.g., retention required by law) within 10 business days;

Right to Restrict Processing: If you believe there are errors in the information, the purpose of our use of the information is illegal, or you have requested deletion but the process is not yet completed, you may request us to restrict the processing of the information (e.g., suspending its use for Service optimization). We will implement the restriction measures immediately upon approval of your request;

Right to Data Portability: You have the right to request us to export your personal information in a structured, machine-readable format (e.g., CSV, JSON) to facilitate your transfer to other service providers. You may submit a request via customer service, and we will provide the export file within 15 business days;

Right to Withdraw Consent: You may withdraw your consent to the processing of specific information at any time (e.g., withdrawing consent for location information authorization or marketing information push) through device settings or account functions. After withdrawing consent, we will stop processing the relevant information, but this will not affect the legality of processing conducted based on prior consent;

Right to File a Complaint: If you believe our information processing activities violate this Policy or laws and regulations, you may submit a complaint via the contact information provided in Section X of this Policy. We will verify the matter and provide feedback on the handling result within 10 business days. If you are dissatisfied with the handling result, you may file a complaint with regulatory authorities such as the U.S. Federal Trade Commission (FTC) or the California Attorney General’s Office.

VII. Protection of Minors

We attach great importance to the protection of minors’ privacy. In accordance with the Children’s Online Privacy Protection Act (COPPA), we do not actively collect personal information from minors under the age of 13 (hereinafter referred to as "Children"):

If you are a Child, please do not register an account or use our Services. If a Child uses the Services and submits information without the consent of a parent or guardian, the parent or guardian may request the deletion of such information via customer service, and we will delete it immediately after verifying the guardian’s identity;

If you are a parent or guardian and discover that a Child has used our Services and submitted information, you may contact us for assistance with deletion, and we will cooperate in providing the necessary identity verification process;

If we launch Service modules targeting minors in the future, we will formulate special privacy protection rules for minors and collect information only after obtaining explicit consent from parents or guardians.

VIII. Notice on Third-Party Services

Our Services may contain links, plug-ins, or features provided by third parties (e.g., social media sharing buttons, third-party map services). Such third-party services have independent privacy policies, and their information collection and use activities are not governed by this Policy. We are not responsible for the privacy protection measures of third parties. We recommend that you carefully read the privacy policy of any third-party service before using it.

IX. Policy Updates and Notifications

We may revise this Policy from time to time based on updates to laws and regulations (e.g., revisions to data protection acts), Service feature adjustments, or user feedback. The revised content will be clearly marked with a "Revision Date";

Revised versions of the Policy will be published on the "Privacy Policy" page of our official website, and update reminders will be sent to you via in-platform notifications (e.g., account messages) or emails. If the revised content involves your core rights (e.g., expansion of information collection scope, changes to sharing rules), we will send you a separate notification at least 30 days before the effective date. If you do not raise an objection within the notification period or continue to use the Services, you will be deemed to have accepted the revised Policy.
